About the role
We are seeking an organised, client-focused, and enthusiastic Events Coordinator to support the planning and delivery of a diverse programme of events within our historic venue. The successful candidate will act as a key point of contact for both internal and external clients, ensuring every event is delivered to the highest standard while preserving the unique character and operational requirements of the venue.
The role involves managing enquiries, coordinating event logistics, liaising with suppliers and stakeholders, and providing exceptional customer service from initial enquiry through to event completion.
Key responsibilities
Event Sales/bookings & Client Management
Respond promptly and professionally to all internal/external enquiries.
Conduct venue tours and client meetings for prospective customers
Prepare proposals, quotations, contracts, and event documentation.
Build strong relationships with corporate, private, community, and cultural clients, as well as members and internal stakeholders.
Manage client expectations and act as the primary point of contact throughout the event lifecycle.
Ensure excellent levels of customer service and client satisfaction.
Event Planning & Coordination
Coordinate all aspects of event delivery, including conferences, receptions, weddings, exhibitions, filming, community events, and corporate functions.
Produce detailed event schedules, function sheets, and operational briefings.
Liaise with catering providers, production suppliers, security, facilities team, and other contractors.
Coordinate room layouts, equipment requirements, and venue logistics.
Ensure all arrangements are communicated effectively to internal departments.
Internal Stakeholder Management
Work closely with operations, facilities, commercial, marketing, and front-ofhouse teams.
Coordinate internal meetings to review upcoming events and operational requirements.
Ensure all departments have the information required for successful event delivery
Support organisational events and internal functions.
Historic Venue Management
Ensure events operate within the constraints and requirements of a historic building.
Protect the venue’s heritage assets by ensuring compliance with venue policies and conservation guidelines.
Advise clients on venue restrictions, capacities, access arrangements, and operational limitations.
Work with facilities teams to ensure events are delivered safely and appropriately within the historic environment.
Administrative Responsibilities
Maintain accurate records and details within CRM and booking systems.
Raise invoices, purchase orders, and event-related paperwork as required.
Track event income and support reporting against sales targets.
Maintain event files and documentation in accordance with company procedures.
Health & Safety & Compliance
Support risk assessment processes and event safety planning.
Ensure events comply with licensing requirements, health and safety regulations, and venue policies.
Monitor supplier compliance and necessary documentation.
Assist in managing emergency procedures and incident reporting where required.
Person Specification
Essential Skills & Experience
Experience coordinating events, hospitality operations, venue bookings, or client-facing projects.
Excellent organisational and time-management skills.
Strong customer service and relationship-building abilities.
Confident written and verbal communication skills.
Ability to manage multiple projects simultaneously.
High level of attention to detail.
Proficiency in Microsoft Office and event or CRM systems.
Ability to work flexibly, including evenings and weekends.
Desirable Skills & Experience
Experience working within a heritage, cultural, museum, university, or historic venue environment.
Knowledge of venue hire, event sales, or commercial events.
Understanding of health and safety requirements for events.
Experience working with external suppliers and contractors.
